Before you send hours to your payroll company, you need three things: an accurate view of what each employee worked, any missing or incomplete time fixed, and the data exported in a format your payroll company can use. This article walks you through all three steps in order, with a link to the full instructions for each.
Steps
View your employees' hours. Go to your Activity Reports and select the By Employee view. Choose the date range for the week or pay period you need. You'll see Regular, Overtime, and Paid Time Off hours for each employee. This works on both the web app and the mobile app. For the full walkthrough, see Job Costing Reports.
Fix any missing or incomplete hours. If an employee's hours look wrong or missing for the pay period, check whether they clocked in and out correctly. If they didn't, you can clock them out and add or correct the time yourself, or have the employee do it if they have permission. Export the hours for your payroll company. Once the hours are correct, download, print, or export the report. Do these steps in order. Fixing missing time after you've already exported means you'll need to export again.
The custom payroll format (step 3) is built for one payroll provider at a time. If you switch providers, you'll need a new custom format.
