Create Custom Format Payroll Export (Web)

The Custom Payroll Export feature provides enhanced flexibility for exporting payroll data, particularly when using third-party payroll providers with specific formatting requirements. This feature extends beyond the standard Advanced Export, offering over 20 additional data columns and the ability to create custom columns.

Additionally, this feature facilitates seamless integration with other payroll systems by allowing users to export data in formats compatible with their specific requirements.

The Free version of AlignOps (busybusy) does not support exporting pay period details to a CSV file. However, users can print Time Cards for the selected period as an alternative.

Exporting payroll data is essential for integrating AlignOps (busybusy) with other payroll systems. This process allows users to create custom CSV formats to match the requirements of their payroll system and import the data seamlessly.

Creating a Custom Payroll Export Format

  1. Navigate to Payroll from the main menu.

  2. Select Export Payroll.

  3. Ensure Advanced is selected in the Select Type dropdown.

  4. In the Format dropdown, select Create Custom Format.

Building the Custom Payroll Format

  1. Enter a name for the custom format in the upper left corner. This is required to save and reuse the format.

  2. Select the desired payroll data by checking the boxes in the left panel.

  3. As selections are made, corresponding columns will appear in the middle window.

  4. Remove unwanted columns by clicking the three dots next to the column name and selecting Remove Row.

  5. Modify the column name by entering a new name under the Column Name field. The updated name will appear in the exported CSV file.

  6. Reorder columns by clicking and holding the double-line handle on the right side, then dragging it to the desired position.

Modifying the Hours Column Format

  1. Add Hours as a column in the custom report.

  2. Click the three dots to the left of the Hours row and select Change Format.

  3. Choose the desired format:

    • Decimal

    • HH:MM

    • Hours Minutes

    • Minutes

    • Seconds

  4. Click Save to apply the format.

Adding a Custom Column

  1. Click the three dots in the upper right corner and select Add Custom Column.

  2. A custom column will be added to the bottom of the report.

  3. Enter a column name and assign a default value if needed.

  4. The default value will appear in every row under the custom column. If left blank, the rows will remain empty.

Saving and Exporting the Custom Payroll Format

  1. Once the report is configured, click Submit to save the custom format.

  2. Saved formats will be available in the Format dropdown.

  3. To export payroll using a saved format, select the custom format name from the Format dropdown.

  4. Click Export. The payroll data will be downloaded as a CSV file.

After exporting, the payroll data can be imported into other payroll systems, such as Gusto, which often provide smart import features to map hours to employees automatically.
