Creating a project plan in Resource Planning (called Project Planning in BusyBusy) allows you to plan work before it begins by defining timelines, tasks, and resource needs.
Before You Begin
Before creating a project plan:
The project must already exist in BusyBusy.
You must have the Manage Project Plans permission enabled.
If you do not see the project you want to plan, you’ll need to create it first under Projects.
Create a Project Plan
To create a new project plan:
Go to Scheduling → Project Planning.
Click Plan in the upper-left corner.
Select the project you want to plan from the dropdown list.
Choose a Start Date for the project.
This can be adjusted later if plans change
Select how Employee Requests should be handled.
Scheduling: Select this option to send employee and equipment requests directly into BusyBusy Scheduling.
This allows schedulers to:
Review requests.
Assign employees and equipment.
Approve or modify schedules.
This is the most common option for teams using BusyBusy Scheduling.
Email: Select this option if scheduling is managed outside of BusyBusy.
When tasks are requested:
An email is sent with the resource details.
Scheduling is handled externally.
Tasks must be manually marked as scheduled in Project Planning.
Instant Approval: Select this option to instantly approve employee and equipment requests without sending them to Scheduling.
This option is useful for:
Planning-only workflows.
Forecasting labor and equipment needs.
Teams that do not need scheduling approvals.
If Equipment Tracking is on, you will also choose how Equipment Requests should be handled.
Click Create.
Once created, the project plan appears on the Project Planning timeline.
What Happens After You Create a Project Plan
After creating a project plan:
The project appears on the timeline.
The timeline may appear short until tasks are added.
You can begin adding Tasks and Task Groups.
Dates, durations, and request settings can be adjusted later.
Creating a project plan does not schedule employees or equipment on its own; scheduling happens after tasks are added and requested.
