What Happens When Project Plans Change After Scheduling

Project plans often change due to weather, delays, or shifting priorities. In Resource Planning, called Project Planning in BusyBusy, tasks can be updated after scheduling. BusyBusy then prompts you to decide how changes affect existing schedules.

This article explains what to expect when plans change after scheduling and how to handle those updates.

Why BusyBusy Shows a Warning

When a task has already been scheduled, and you attempt to move or edit it, BusyBusy displays a warning message.

This happens because:

  • The task is linked to one or more schedule items

  • Changes may affect employees or equipment already scheduled

The warning helps prevent unintended scheduling changes.

Common Changes That Trigger a Prompt

You may see a prompt when you:

  • Move a task to a new date on the timeline

  • Change a task’s duration

  • Shift a task group that contains scheduled tasks

  • Change task details tied to Scheduling

These prompts ensure you remain in control of how changes are applied.

How to Respond to the Prompt

When the prompt appears, BusyBusy provides options for how to proceed.

Depending on the change, options may include:

  • Keeping existing schedules as-is

  • Updating schedules to match the new plan

  • Removing linked schedules

Always review the options carefully before continuing.

Moving Task Groups After Scheduling

If you move a task group that includes scheduled tasks:

  • All subtasks move together in the plan

  • BusyBusy will prompt you for how to handle existing schedules

  • Each scheduled task is evaluated based on your selection

This allows you to adjust entire phases of work without losing control.

Best Practices for Handling Changes

To avoid confusion when plans change:

  • Finalize task details before requesting scheduling when possible

  • Communicate changes with schedulers and crews

  • Review prompts carefully before confirming

  • Use Project Planning as the source of truth for upcoming work

These practices help keep plans and schedules aligned.

Important Things to Know

  • Changing a project plan does not automatically reschedule work

  • Prompts appear only when changes affect scheduled items

  • Approved schedules remain in place unless you choose to modify them

  • Changes are logged immediately in the project plan
