Once tasks are added to a project plan, you can request the employees and equipment needed to complete that work.
In Resource Planning (called Project Planning in BusyBusy) requesting a task sends the planned resource needs through the workflow selected when the project plan was created.

Project Planning supports multiple workflows:
Send requests to BusyBusy Scheduling
Tasks are sent to Scheduling as requests that can be reviewed, approved, and scheduled.
Email requests
Task details are emailed for scheduling outside of BusyBusy. Tasks must be manually updated once scheduled.
Instantly approve requests
Requests are automatically approved without sending anything to Scheduling. This option is commonly used for planning or forecasting.
The steps in this article focus on the BusyBusy Scheduling workflow, which is the most common setup.
Request a Task
To request employees and equipment for a task:
Go to Scheduling → Project Planning.
Open the project plan.
Click on the task you want to request.
Select Request.
Once requested, the task’s appearance changes on the timeline to indicate it has been sent for scheduling.
Task Request Status Indicators
Task appearance changes to reflect request status.
Common indicators include:
Draft – The task has not been requested.
Requested – The task has been sent to Scheduling but not yet approved.
Approved – The task has been scheduled and approved.
These visual indicators help you track which tasks still need scheduling.
What Information Is Included in a Request
When a task is requested, the following information is sent to Scheduling:
Project name.
Task dates and duration.
Requested employee count or roles.
Requested equipment.
Associated cost code (if assigned).
Task description or notes.
This information allows schedulers to review and fulfill the request without re-entering details.
Requesting Multiple Tasks
Tasks must be requested individually.
This gives you control over:
Which tasks are ready to be scheduled.
The order in which work is scheduled.
Adjustments before scheduling.
You can request tasks as plans are finalized or closer to the scheduled start date.
What Happens After a Task Is Requested
After a task is requested:
The task appears as a request in Scheduling.
Schedulers can review and assign employees and equipment.
The task remains linked to Scheduling until approved or changed.
Once approved, the task status updates in Project Planning automatically.
