Scheduling Requests from Project Planning

When tasks are requested from Project Planning, they can be sent to BusyBusy Scheduling as requests. Schedulers can review work, assign employees and equipment, and approve schedules while keeping plans current.

This article explains how to view, schedule, and approve requests that come from Project Planning.

Before You Begin

Before scheduling requests:

  • Tasks must be requested from Project Planning

  • The project plan must be configured to send requests to Scheduling

  • You must have scheduling permissions enabled

If tasks were configured to use email requests or instant approvals, they will not appear in Scheduling.

View Requests from Project Planning

To view scheduling requests:

  1. Go to Scheduling

  2. Open the Calendar

  3. Click Requests

Requests from Project Planning appear in the list with:

  • Project name

  • Task dates

  • Requested employees and equipment

  • A unique request ID

The request list helps schedulers prioritize and manage incoming work.

Schedule a Request

To schedule a request:

  1. Open Requests in the Scheduling calendar

  2. Locate the request you want to schedule

  3. Click Schedule

The scheduling form opens alongside the request details.

From here, you can:

  • Select the dates to schedule

  • Assign available employees

  • Schedule required equipment if needed

  • Choose a schedule color

  • Add notes if needed

Project and cost code information from the project plan is automatically prefilled.

Assign Employees and Equipment

When scheduling a request, BusyBusy helps prevent conflicts.

You can:

  • View only employees who are available

  • Avoid scheduling employees who are already scheduled or on time off

  • Assign equipment requested in the task

  • Add or adjust equipment if needed

This ensures schedules align with both availability and the original plan.

Approve the Request

Once scheduling details are completed, approve the request.

When approving, you can indicate:

  • Yes – The request was fulfilled as planned

  • Yes, with changes – The request was fulfilled with adjustments

If changes were made, notes can be added to explain differences.

After approval:

  • The schedule is created

  • Assigned employees can be notified

  • The task status updates automatically in Project Planning

View Approved Requests in Project Planning

After a request is approved:

  • The task appears as approved in Project Planning

  • The task bar reflects the approved status

  • Task details include a link back to Scheduling

This creates a closed loop between planning and scheduling.

Important Things to Know

  • Scheduling a request creates schedule entries for employees and equipment

  • Approved requests remain linked to the project plan

  • Changes made in Scheduling are reflected in Project Planning

  • Requests must be scheduled individually
