Create a Budget with Cost Codes (Web)

Adding cost codes lets you plan labor hours and costs for each task. This gives clear insight into where time is spent so you can estimate future work, track overruns, and see which tasks need the most labor. It’s ideal for accurate task-level budgeting.

Create a Cost Code Budget (Web)

  1. Sign in to BusyBusy on the web.

  2. From the left navigation menu, select Budgets.

  3. Choose the project you want to create a budget for.

  4. Select Create Budget.

  5. Click Add Cost Codes.

  6. Select the cost codes you want to include in this project.

    • If your project already has cost codes scoped to the project, you can use the Project Cost Codes button to add them even faster.

  7. Select Submit.

  8. Enter the planned Labor Hours and Labor Costs for each cost code.

  9. Review the Budget Totals on the right side of the screen.

    • Totals update automatically based on your cost code entries.

  10. When finished, select Save.

Your project’s budget will now display a breakdown of each cost code and its planned vs. actual labor hours and costs.

About the Autofill Toggle

  • When Autofill is ON, your project’s total labor hours and labor costs will automatically update based on the cost code values you enter.

  • When Autofill is OFF, you can manually adjust the project totals (useful if you want to add buffer time or round up).

Where Actual Hours and Costs Come From

BusyBusy automatically fills in actuals based on employee activity:

  • Labor Hours Actuals come from employee time cards tracked to each cost code.

  • Labor Cost Actuals come from the employee’s time entries and their hourly rate.

You do not need to enter actuals manually — BusyBusy calculates and updates these values for you.

Best Practices

  • Use cost codes if you want deeper insight into which tasks are taking longer than expected.

  • Keep your cost code list focused on meaningful tasks to avoid overcomplicated budgets.

  • Monitor individual cost codes to understand which tasks impact your labor costs the most.

  • Use Project Cost Codes to add cost codes quickly when they are already linked to a project.
