Track Progress in Project Budgets (Web & Mobile)

This article explains how to set up progress tracking, enter progress for each cost code, and view progress inside your project budgets.

Progress Tracking allows you to measure how much work has been completed on a project by assigning a unit of measurement to each cost code. This helps you understand project completion, compare progress to your labor budget, and estimate earned value in real time. Progress Tracking is a Premium BusyBusy feature.

How Progress Tracking Works

Progress Tracking connects three parts of your project:

1. Unit of Measurement

Assign a unit that represents the work being completed. Examples include:

  • Square feet

  • Cubic yards

  • Dump truck loads

  • Sheets or pieces

You can use any unit that fits your work!

2. Quantity Budget

For each cost code, enter the total quantity you expect to complete for the project.

3. Progress Value

Enter the value (typically dollars) that the cost code represents in your project bid.

Your total project progress value = the combined progress values of all cost codes.

This lets BusyBusy calculate:

  • Total work completed

  • Percentage of project completed

  • Earned progress value

  • Comparison to your labor budget

To display progress inside budgets, make sure:

  • Progress is enabled in Settings → Budgeting

  • The user viewing the budget has View Expenses permission (required to see Progress Value)

Set Up Progress Tracking in a Budget (Web)

  1. Sign in to BusyBusy on the web.

  2. From the left navigation menu, select Budgets.

  3. Choose the project you want to work with.

  4. Select Create Budget or open an existing budget.

  5. Add cost codes (if not already added).

  6. For each cost code, enter:

    • Quantity Budget (total amount of work required)

    • Progress Value (the dollar value assigned to the cost code)

    • Labor Hours and Labor Costs (optional but recommended)

  7. Review your overall project budget, which will now include:

    • Total labor hours

    • Total labor costs

    • Total project progress value

  8. Select Save.

You now have a fully configured progress-based budget for your project!

Submit Progress Entries (Mobile & Web)

Progress entries are submitted by employees or supervisors at the end of their shift.

Submit Progress (Mobile)

  1. Open BusyBusy on your mobile device.

  2. From the dashboard, tap Progress.

  3. Choose the project and cost codes you worked on.

  4. Enter the quantity of work completed.

  5. Tap Save.


Submit Progress (Web)

  1. Sign in to BusyBusy on the web.

  2. Go to Dashboard → Progress.

  3. Select the project and cost code.

  4. Enter the completed quantity.

  5. Select Save.

Progress updates instantly in your budget.

View Progress Inside Budgets (Web)

After progress has been entered, you can see it inside your budget:

  1. Go to Budgets and select the project.

  2. At the top of your budget, view:

    • Overall progress percentage

    • Total labor hours used

    • Total labor costs used

    • Total progress value earned

  3. Scroll through individual cost codes to see:

    • Quantity completed vs. quantity budgeted

    • Progress % for each cost code

    • Actual labor hours and costs used

  4. Click a cost code to drill down into:

    • Employee actuals

    • Time entries

    • Progress entries

This gives you a clear picture of how work is advancing on every task.

Dashboard

The dashboard card shows your top four most active budgets, including:

  • Progress completed

  • Progress value

  • Labor used

Projects Page

  1. Go to Projects.

  2. Select a project.

  3. Scroll to the Budget section.

  4. View both budget totals and progress.


Mobile-Friendly Progress Tracking

Progress tracking is fully available on mobile!:

  • Create new budgets with cost codes

  • Assign quantity budgets

  • Set progress values

  • Enter progress daily

  • Edit budgets and add cost codes

  • Autofill totals when adding cost codes

You can access and update your project budgets anytime, anywhere.

Best Practices

  • Choose clear, consistent units for each cost code.

  • Enter progress daily to keep project status accurate.

  • Review progress vs. labor budget weekly to catch issues early.

  • Ensure supervisors and crew leads know how to submit progress.

  • Use progress values that align with your project bid structure.
