Use this guide to help standardize safety processes, improve communication, and keep your crews informed and protected.

Setting Up JSA Permissions

By default, only Admins can create or manage JSAs. Other users can still view and review them.

If you want certain positions to create or manage JSAs, you can enable permissions in Settings.

Steps

  1. Click Settings

  2. Select Positions

  3. Choose the position you want to update

4. Scroll down to Safety

5. Click JSA Reports

6. Enable the permissions you want

7. Click Update to save your changes

Accessing the JSA Reports Window

All JSAs are managed from the JSA Reports window.

Steps

  1. Click Safety in the left navigation menu

  2. Select JSA Reports

If your company has already created JSAs, they will appear in the list.

Depending on your company configuration, you may see:

  • Cost Code JSAs

  • Task JSAs

If your company does not use cost codes, only Task JSAs will appear.

Managing Chemical and PPE Lists

Before creating JSAs, it's helpful to set up your Chemical and PPE lists.

These lists make it easier to add hazards and required equipment when building JSAs.

Managing Chemicals

  1. Click the three dots in the top-right corner

  2. Select Manage Chemical List

3. Click Add

4. Enter the chemical name

5. Click Submit

Managing PPE

  1. Click the three dots

  2. Select Manage PPE List

3. Click Add

4. Enter the PPE item

5. Click Submit

You can update these lists at any time.

Setting up these lists ahead of time helps make JSA creation faster and more consistent.

Creating a Cost Code JSA

Cost Code JSAs are used when your company tracks work using cost codes.

Steps

  1. Click Create

  2. Set the Type to Cost Code

  3. Select the Cost Code (required)

Clock In Review

You can require employees to review a JSA when clocking in.

Enable Clock In Review and choose how often employees must review the JSA.

Options may include:

  • Daily

  • Weekly

  • Monthly

  • Custom intervals

Scope to Project

The Scope to Project option limits the JSA to a specific project when paired with the cost code.

If this option is not selected, the JSA will apply to any employee clocking into that cost code, regardless of project.

Adding Steps, Hazards, and Safety Measures

Start by listing the steps required to complete the task.

Steps

  1. Enter the task steps

  2. Click Submit

Once the steps are created, you can add additional steps or edit the order of the task steps.

Hazards and Prevention Measures

Click the + icon next to a step to add:

  • Hazards

  • Prevention measures

These help employees understand the risks and how to avoid them.

Adding Photos

You can also add photos to JSA steps.

Photos are useful for showing:

  • Safe work procedures

  • Equipment setup

  • Hazard examples

  • Proper PPE usage


Adding Chemicals and PPE

You can specify which chemicals and PPE employees should be aware of when performing a task.

Adding Chemicals

  1. Click the + icon in the Chemical section

  2. Select items from your chemical list

If a chemical is missing:

  1. Click Manage List hyperlink at the bottom of the Chemical List

2. Add the chemical

3. Return to the JSA

Adding PPE

  1. Click the + icon in the PPE section

2. Select the required PPE items

3. If a PPE item is missing from the list click the Manage List hyperlink at the bottom of the PPE list to add it.

This helps ensure employees know which protective equipment is required before beginning work.

Adding Training Materials

You can attach training materials from BusyBusy’s training library.

These materials provide employees with additional safety resources while reviewing the JSA.

When the JSA is complete, click:

Submit Report to complete the process of creating the JSA

The JSA will now appear in the Cost Code tab of the JSA reports window.

Viewing JSA Review Records

BusyBusy automatically records when employees review a JSA.

To see this information:

  1. Select a JSA from the main JSA screen

  2. Look at the Reviewed By section on the right side

  3. Click View


You’ll see:

  • Employee names

  • Most recent review date

  • Review time

You can also click an employee’s name to view their full JSA review history.

Selecting a review entry will display the version of the JSA that was reviewed.

Creating a Task JSA

Task JSAs are used for general safety procedures that are not tied to a cost code.

Steps

  1. Click Create

  2. Select Task as the type

3. Enter a name

4. Optionally assign the JSA to a project

5. Enable Clock In Review if desired

6. Add steps, hazards, chemicals, and PPE

The process is the same as creating a Cost Code JSA.

The completed JSA will appear under the Task tab.

Exporting or Printing a JSA

You can export JSAs as PDFs or print them for documentation and training.

Steps

  1. Select the JSA you want

  2. Click Export in the top-right corner

3. Choose PDF or Print

Using JSAs in Scheduled Safety Trainings

JSAs can also be used as training material during safety meetings.

Steps

  1. Click Safety in the main menu

  2. Select Trainings

  3. Click Schedule

4. Enter the meeting date, time, and instructor

5. Open Training Materials

From the All Sources dropdown, select:

JSA Reports

Find the JSA you want and click Submit.

Finish entering the safety meeting details and click Create.

During the meeting:

  • The instructor reviews the JSA with the team

  • Employees sign the attendance roll

Signatures are saved in the training record and the JSA record
