What Happens When You Change Budget Settings After Creating a Budget (Web)

Budget Settings determine which columns appear in your project budgets, including labor and equipment hours, costs, and progress. Updating these settings after a budget is created will not remove data. It controls what information is shown or hidden.

What Happens When You Turn Off a Budget Column

If you uncheck a column in Settings → Budgeting, that column is hidden in all budgets, but the data remains intact.

For example:

  • If you turn off Equipment Hours, your equipment hour values will disappear from the budget view.

  • If you re-enable Equipment Hours later, all previously entered or tracked equipment hours reappear exactly as before.

Turning off a budget column does not delete:

  • Planned hours

  • Planned costs

  • Actual hours

  • Actual costs

  • Cost code breakdowns

  • Progress values

All data is preserved behind the scenes.

What Happens When You Turn On a Budget Column

If you enable a new column that wasn’t previously visible:

  • The column appears immediately in your budgets.

  • Any existing data for that column also appears (if applicable).

  • You can begin entering planned values or reviewing existing actuals right away.

For example:

  • If Labor Costs were off when the budget was created, enabling Labor Costs will show all calculated labor cost actuals based on the employee hourly rates.

How Progress Is Affected by Budget Settings

To view Progress Value in your budgets:

  • The Progress column must be enabled in Budgeting

  • The user must have View Expenses permission

If Progress is turned off in Budgeting:

  • All progress data is hidden

Progress entries are not deleted and will reappear when re-enabled

Impact on Subproject Budgets

Changing Budget Settings affects both parent and subproject budgets equally:

  • Columns are hidden or shown consistently across all budget levels

  • Autofill Higher Projects behavior is not affected

No data in subproject budgets is removed

Best Practices

  • Don’t worry about losing data. Column settings only hide or reveal information.

  • Keep only the columns you use regularly enabled to reduce visual clutter.

  • Before disabling cost columns, confirm whether supervisors need that data visible.

  • Re-enable columns temporarily if you need to export or review cost data.

If you’re unsure why a column is missing, check:

  1. Settings → Budgeting to ensure the column is enabled.

  2. Permissions to verify the user has access to view expenses (required for cost and progress data).
