Set Permissions for Certifications (Web & Mobile)

BusyBusy gives you control over who can manage employee certifications in your company. With permissions, you can decide which positions can view, edit, create, or delete certifications.


What the Permission Does:

There are now three levels of certification access:

  • Self Only – Employees can view their own certifications but cannot view others or make edits.

  • View Crew – Supervisors can view certifications for employees on their crew but cannot add, renew, or delete them.

  • Manage – Full access to view, add, edit, renew, or delete certifications and certification types.

This tiered structure helps companies maintain compliance while controlling who can modify critical records.

All employees, regardless of their position, can always view their own certifications in the app. This ensures workers can quickly show proof of certification while on the job site.


Set Permissions on Web

  1. Sign in to BusyBusy on the web.

  2. From the left navigation menu click on Settings → Positions.

  3. Select the position you want to edit.

  4. On the right side, in the Company Management section, click on Certifications.

  5. Under Certifications, choose one of the following options:

    • Self Only – for standard employees.

    • View Crew – for supervisors who need to see their crew’s certifications on mobile.

    • Manage – for admins or safety/compliance roles who manage certification records.

  6. Click Save to apply the changes.

Employees in that position will now have the corresponding certification access level across both web and mobile.

Set Permissions on Mobile (iOS & Android)

  1. Open the BusyBusy mobile app.

  2. Click on the three horizontal line icon on the top left to get to the left navigation menu.

  3. Click Settings → Company -> Positions.

  4. Select the position you want to update.

  5. Tap Certifications Access Level, then select one of the following:

    • Self Only

    • View Crew

    • Manage

  6. Tap Save to confirm.

What Each Permission Level Can Do

Self Only

  • Employees can view only their own certifications.

  • They cannot view anyone else’s certifications or make any changes.

  • This is the default setting for most field employees.

View Crew

  • Supervisors can view certifications for employees on their crew.

  • They cannot add, edit, renew, or delete certifications.

  • Ideal for supervisors who need to confirm crew qualifications before assigning work.

Manage

  • Provides full access to certification records.

  • Users can view, add, renew, edit, delete, and print/export certifications.

  • Best suited for admins, HR, safety, or compliance roles responsible for maintaining records.

Best Practices

  • Assign Self Only to most field employees to prevent accidental edits.

  • Use View Crew for supervisors who oversee teams but don’t handle admin tasks.

  • Limit Manage access to safety, HR, or operations admins who handle compliance records.

  • Review permissions quarterly to ensure new employees or promotions have the correct access.
