Set Budget Permissions (Web)

This article walks through turning on or off the permissions to view or to manage your budgets.

Budget permissions determine who in your company can view, edit, or manage project budgets. These permissions help you control access to financial information and ensure that only the right roles can modify or view budget details.

Budget permissions are set at the Position level, so anyone assigned to that position will receive the same level of access.

Update Budget Permissions (Web)

  1. Sign in to BusyBusy on the web.

  2. From the left navigation menu, select Settings.

  3. Click Positions.

  4. Select the position you want to edit.

  5. Under the Permissions list, open the Budgets section.

  6. Choose the appropriate permission level:

    • Off – Users in this position cannot see or access budgets.

    • View Only – Users can view budgets but cannot edit or create them.

    • Manage – Users can view, create, edit, and delete project budgets.

  7. Select Update to save your changes.

  8. (Optional) Update the View Expenses permission:

    • On – Users can see labor costs, cost code costs, equipment costs, and payroll-related financial information.

    • Off – Cost amounts are hidden; users will only see hours.

  9. Select Update to save your changes.

Users in this position will immediately gain (or lose) access to the features you selected.

You can quickly review all permissions across roles by selecting All Position Settings at the top of the Positions page. This helps ensure budget access is configured accurately across your entire company.

How “View Expenses” Affects Budgets

The View Expenses permission works independently from budget access. Even if a position can view or manage budgets, they will not see labor or equipment costs unless View Expenses is enabled.

This allows you to:

  • Let supervisors track project progress

  • While still hiding financial details like wage rates or cost totals

Important: Viewing Progress Value in Budgets (premium feature)

To see Progress Value inside a budget, a position must have View Expenses turned on.

  • If View Expenses = Off, the Progress Value column will be hidden, even if the user has permission to view or manage budgets.

  • This ensures progress-based budget values are only visible to roles who are allowed to see related financial information.
