Require a Project Selection at Clock In (Web)

How to require employees to choose a project before they can clock in, using the Time Keeping settings on the web.

Overview

If your employees can clock in without picking a job site, it's hard to know where their hours should be billed. BusyBusy has a setting called Project Tracking that lets you require a project selection before an employee can clock in. Once it's turned on, employees won't be able to finish clocking in until they choose the project they're working on that day.

Steps

  1. From the left navigation menu on the web, select Settings.

  2. Select Time Keeping.

  3. Under Project Tracking, make sure the box is checked so employees can track time to projects.

  4. Check the box next to Require Project Tracking to require a project selection before an employee can clock in.

  5. (Optional) If any of your projects have subprojects, check the box next to Hide Unassigned Subprojects (Mobile Only) to require employees to also select a subproject when one exists for their project.

  6. Click Update to save your changes.

Notes

  • The same Time Keeping settings page has a similar option for cost codes: check the Require Cost Code Tracking box to require employees to track time to a cost code.

  • The same Time Keeping settings page also has a Time Rounding option. Use it to change how far off a clock in or clock out can be from the scheduled time before it's rounded (for example, switching a 30-minute leeway to 15 minutes).

  • If employees can't clock in and you no longer need cost codes, you can turn off cost code tracking entirely: go to Settings > Time Keeping > Cost Code Tracking, and if Require Cost Code Tracking is checked, uncheck it. Click Update to save before closing the window. This resolves clock-in problems caused by a required cost code that no longer applies.
