Employees can be hard enough to keep track of, so keeping their personal and employment information up to date is important. Don't worry, we’ve made this easy! This information can be updated via Web or Mobile, with the proper permission level. Learn more about permissions HERE.
On the Web
You can select Employees OR Management Lists > Employees
Click on Employees from the left side menu.
Click on the employees name you want to edit.
Click Manage in the upper right.
Click inside any of the field boxes you want to edit.
Make edits and you’re done!
OR
Click on Management Lists from the left side menu.
Click on Employees and click on the employee name you want to edit.
Click inside any of the field boxes you want to edit.
Make edits and you’re done!!
On Mobile
From the main menu select Employees
Make sure the next screen has ALL EMPLOYEES selected on the top.
Right below there are 3 options: LIST, STATUS and MAP.
Select LIST.
Click on the employees name you want to edit.
Click on the gear icon in the upper right hand corner.
Click inside any of the field boxes you want to edit.
Make edits and you’re done!!
Now you can keep your employees' info up to date quickly and easily!
Locking Out an Employee Without Archiving Them
If you need to cut off an employee's access right away but can't archive them yet (for example, you still need their hours for an upcoming payroll run), you can lock them out without archiving:
Edit the employee's profile and change their password to something they don't know.
Remove their email address from their employee info as well, so they can't use the "Forgot Password" link to get back in.
This keeps their historical data and time entries intact for payroll while preventing them from logging in. You can archive them once payroll is finalized.

This feature is only available to specific permission levels. The default position/permissions setting provides access to admins but not other positions. You must have your permissions to Manage Employees set to "YES" in order to make edits. Custom permission levels can be set. (Pro Feature) |
If you are using busyPayroll for the first time or are adding any new employees, please make sure you follow these steps:
1. When creating the new employee, select Add to BusyPayroll before clicking Create. Fill out the rest of their information as normal, then continue with the steps below.
2. Log into your busybusy account. (desktop/laptop - not your mobile device)
3. From the menu on the left-hand side of the screen, click on Payroll.
4. From the Payroll screen, click on the three-dot stack to the right of the screen.
5. Click on Employee Matching tool:
Example: Alex Smith is the new employee you need to map to Gusto. In the column to the right labeled “busybusy” make sure Alex’s name appears in the drop-down menu directly across from his name in the “Gusto” column on the left. (If this were the first payroll you were running with busyPayroll, you’d want to make sure that all the employees names were selected under the “busybusy” column) (Salaried employees DO NOT need to be mapped)
6. Once completed, scroll down to the bottom of the page and click on the blue “Submit” button.
And you're done! Your new employee is linked (mapped) between busybusy and Gusto.
