Overview

The Pay Period History feature allows administrators to view, edit, and delete past pay period settings to maintain accurate payroll records and track any modifications over time. Understanding these changes helps ensure payroll consistency and compliance.


Accessing Pay Period History

  1. Navigate to Settings from the main menu.

  2. Click on Pay Period & Overtime.

  3. Select View Pay Period History.


Understanding Pay Period History

The Pay Period History page displays all past pay period changes in chronological order, with the most recent changes listed at the top. Each entry includes the following columns:

  • Effective Date – The date the new pay period setting was applied.

  • Change Date – The date when the pay period was modified.

  • Submitted On – The date the change was officially submitted and recorded.

  • Pay Period Length – The selected pay period cycle (Weekly, Biweekly, Semi-Monthly, or Monthly).

  • Pay Period Start – The first day of the pay period for that entry.

If an effective date conflicts with a previous entry, a warning message will prompt admins to adjust or delete the conflicting period.


Deleting a Pay Period Entry

  1. Locate the pay period entry to be deleted.

  2. Click the three dots next to the entry.

  3. Select Delete.

  4. A confirmation message will appear: "If you delete this item, it will be gone forever and will cause hours to be recalculated for the affected dates. Are you sure you want to continue?"

  5. Click Delete to proceed, ensuring all consequences are understood before confirming.


Editing a Pay Period Entry

  1. Locate the pay period entry to be modified.

  2. Click the three dots next to the entry.

  3. Select Edit.

  4. Update the necessary pay period details.

  5. A confirmation message will appear, notifying that past pay period changes will cause hours to be recalculated for the affected dates.

  6. Click Update to save changes.


Important Notes

  • Only administrators with payroll management permissions can view, edit, or delete pay period history.

  • Editing or deleting a past pay period entry will trigger recalculations for all related time entries.

  • Changes made to pay period settings will not impact historical payroll reports, but they will affect how future payrolls are calculated.
